Church Cashbook User Manual
Budgets compare annual budget amounts with actual totals by category for the selected church and financial year. The budget chart provides a visual summary at a glance.
Viewing the budget report
- Go to Budgets.
- Select the financial year if required.
- Review Budget, Actual and Variance for each category.
Who can edit budgets?
Budgets can be created and edited by authorised Treasurers for that church.
Editing budgets (Treasurers only)
- Open Budgets for the church and financial year.
- Click Edit budgets.
- Enter amounts for the relevant categories.
- Save budgets.
Note: Budgets do not change transactions — they are a reporting and planning tool only.
Budget chart
Click View chart on the Budgets page, or open Budget chart from the dashboard, to see two visual charts:
- Budget vs actual — a horizontal bar chart showing the budget amount (grey) alongside the actual amount (colour-coded) for each category. The colours indicate status: green means within budget, amber means over 75% used, red means over budget, and grey means no budget has been set. A summary banner at the top flags any categories that are over budget or approaching the limit.
- Monthly totals — a grouped bar chart showing money in (green) and money out (red) for each month of the financial year. Use the Monthly / Cumulative toggle to switch between monthly figures and a running year-to-date total. The cumulative view shows whether the church is tracking ahead or behind overall.
Both charts degrade to a data table when printed.
