Common questions.

Why can’t I delete a transaction?

For audit integrity. Void the transaction with a reason and enter the corrected item.

Do I need accounting knowledge?

No. Enter money in/out with categories and clear descriptions.

How do I correct a mistake?

If it’s minor and you have edit permission, edit it. If it affects audit confidence, void and re-enter.

Who can change my access?

An administrator. Contact them if you need additional churches or permissions.

How do I attach a receipt?

On Add/Edit transaction, upload the document (if your role permits).

I see a yellow duplicate warning when adding a transaction — should I ignore it?

Check the existing transaction it mentions before saving. If the dates and amounts coincide legitimately (e.g. a regular standing order), you can proceed — the warning is advisory only. If it looks like you may have already entered that transaction, use the transactions list to check before saving again.

How do I give someone read-only access to the accounts?

As Treasurer, go to Dashboard → Manage viewers. Create a viewer account with their email address. Share the first-login link that appears — it is valid for 7 days. They will set their own password and can then log in to view (but not edit) your church's data.

How do I import transactions from a spreadsheet?

Export your spreadsheet as a CSV file with columns: Date, Description, Amount, Direction (in/out), Category (optional), Fund (optional), Cleared (optional). Then go to Dashboard → Import transactions. Upload the file, review the preview, and confirm. The import page shows a reference table of accepted category codes.

The budget chart shows "No budgets have been set" — what do I do?

Go to Budgets for the relevant financial year and click Edit budgets to enter budget amounts for your categories. Once saved, return to the budget chart to see the comparison.

Can I see who changed a transaction?

Yes — open the transaction for editing and scroll to the bottom. The Audit trail card shows every change made to that transaction, with the date, type of change, and the name of the user who made it.
