System-generated emails
Church Cashbook generates email in two circumstances:
- Password reset: A reset link is sent to the user's registered email address when they request one. No administrator action is required unless the user reports not receiving the email.
- Error alerts: The error handler sends an alert email when a threshold of errors is exceeded within a short window. These go to the address configured in
config.php.
Monitoring the contact inbox
The email address configured for error alerts should be checked regularly. Monthly is sufficient unless a known issue is being investigated. Look for:
- Error alert emails — each alert email summarises the error type, file, and line. A single alert is not necessarily a problem; repeated alerts for the same error are.
- Password reset requests for users who have not initiated them — this may indicate someone attempting to gain access to an account.
- Bounce notifications — if reset emails are not being delivered, investigate the server's mail configuration.
Post-implementation note
Once the system is live with multiple parishes, evaluate whether a structured support channel (such as the Akeeba ticket system or a dedicated support email alias) is preferable to direct contact. This page should be updated to reflect whatever support model is adopted at that point.
Email delivery testing: Periodically verify that system emails are actually being delivered by triggering a test password reset for an admin account and confirming receipt. Mail delivery silently failing is a common and easy-to-miss issue on shared hosting.
